Back Office Manager vacancy with EHF Marketing GmbH

EHF Marketing GmbH has a job opening for a Back Office Manager to join its team based in Vienna, Austria. Joining us will mean working for the sport of handball in Europe and specifically for the world’s biggest club handball competitions – the EHF Champions League and the EHF European Cup.

Job specification

  • Administration, processing and filing of incoming invoices
  • Issuing, processing, administration and filing of outgoing invoices autonomous and on request
  • Summary, control, overview for special creditor/debtor accounts
  • Regular monitoring of open payments / dunning
  • Administration of contracts (sponsorship/advertising/TV)
  • Autonomous invoicing of license fee payments according to contracts (due date observance via Excel schedule, Outlook calendar) in cooperation with/on information by the staff member in charge
  • Collecting and administration of club contacts and technical data
  • Collecting / issuing tax relevant documentation (double taxation agreements/withholding tax)
  • Administration of Champions League (matches, meetings, absences) and Meeting (meeting rooms and company cars) calendar in Outlook
  • Meeting arrangements / guest service (coffee, drinks, snacks etc.), meeting room cleaning
  • Preparation and meeting room reservation
  • Travel arrangements (flights, hotels, car rental, meeting rooms) incl. price comparison
  • Visa applications
  • Correspondence, autonomous and on request (typing letters and emails, etc.)
  • Preparing papers & presentations for meetings, collation of materials, photocopying, binding, etc.
  • Creating minutes of meetings in German and English
  • Liaison with partners, clients and officials
  • Administrative and organisational support to the EHF Marketing team
  • Administration of employee data, working hours, vacations and other days off
  • Telephone switchboard for EHFM (substitute for EHF)
  • Distribution/processing incoming letter post
  • Franking and distribution of outgoing letters / parcels; handling express mail services
  • Filing (paper and electronic/scans)
  • Office supplies (survey, ordering incl. price comparison)

Key competencies

  • 3-5 years’ experience as Back Office Manager
  • Fluency in English and German, other languages an advantage
  • Good knowledge of accounting (VAT regulations) and office management
  • Excellent communication and computer skills (esp. MS Office, Acrobat DC)
  • Comfortable in a fast paced, changing environment
  • An interest in or understanding of handball is a strong advantage
